BI consulting cost depends on four things: scope, the number and state of your data sources, licences, and ongoing support. Licences are the only part with public list prices. In India, Power BI Pro is Rs 1,165 per user per month, paid yearly, with GST extra. Services cost scales with data work, not dashboard count.
This guide is for CFOs and IT heads at companies in the Rs 1,000 to 2,000 crore range who are setting a BI budget. Every licence figure below links to the vendor's own pricing page. We do not quote services fees, because we found no public, credible range for India that we could cite.
What drives BI consulting cost?
The biggest driver is data, not visuals. How many source systems you have, how clean they are, and how often they must refresh decide most of the effort. Licences come next, then the number of reports, security rules, training and the support model after go-live.

What do BI licences cost?
Licences are priced per user, per capacity or per consumption. In India, Power BI Pro is Rs 1,165 and Premium Per User is Rs 1,995 per user per month, paid yearly, GST extra. Tableau Standard starts at $15 and Enterprise at $35 per user per month. Fabric and Snowflake are priced by capacity or consumption.
Power BI. Microsoft's India page lists Power BI Pro at Rs 1,165 per user per month and Premium Per User at Rs 1,995, both paid yearly, GST extra as applicable. Power BI Desktop is free for authoring (Microsoft Power BI pricing, India). Microsoft notes these are marketing prices and the checkout price can differ.
Microsoft Fabric. Fabric is sold as capacity (F SKUs) on pay-as-you-go or reservation. Microsoft says a 1 or 3 year reservation can save about 41% against pay-as-you-go. Report publishers still need Power BI Pro, and from F64 upward viewers do not need a paid licence (Microsoft Fabric pricing). Per-SKU rates load by region on that page; check them there for your region and currency.
Tableau. Tableau Cloud Standard starts at $15 per user per month and Enterprise at $35, billed annually. All Tableau products need an annual contract, and every deployment needs at least one Creator licence (Tableau pricing).
Snowflake. Snowflake uses consumption-based pricing across Standard, Enterprise, Business Critical and Virtual Private Snowflake editions, with a separate monthly storage fee (Snowflake pricing). Cost depends on compute used, so model it on your workload.
Your agreement, currency and taxes can change what you pay. Confirm with the vendor or a licensing partner.
What are the phases of a BI project?
Most BI projects run in five phases: scoping, data foundation, build, rollout and support. Scoping agrees the metrics and sources. The data foundation connects and cleans sources. Build creates the model and reports. Rollout covers training and access. Support keeps it current. Each phase should have its own deliverable and sign-off.

Timelines depend on sources and data quality. See the FAQ below.
What hidden costs should you budget for?
The two costs most often missed are data cleanup and change management. Cleaning item, customer and supplier masters takes business time, not only consultant time. Getting managers to use dashboards instead of spreadsheets needs training and follow-up. Also budget for licence growth as more people publish.
Other items to check:
Internal staff time for workshops, testing and sign-off.
Licence upgrades when models outgrow Pro limits. Microsoft lists a 1 GB model limit for Pro and 100 GB for Premium Per User (Microsoft Power BI pricing, India).
Warehouse compute if you add Snowflake or Fabric.
Changes to source systems, such as an ERP upgrade, that break connectors.
How should you scope a BI RFP?
Scope the RFP around decisions and data, not dashboards. List the decisions you want to support, the metrics behind them, every source system, refresh needs and who sees what. Ask each bidder to price the same scope, split licences from services, and state what support costs after go-live.
A short RFP checklist:
Top 10 decisions and the metrics behind them.
Source systems, owners and access method.
Refresh frequency per metric.
User count by role: publisher, viewer.
Security rules by entity, plant or region.
Phase-wise deliverables and acceptance criteria.
Support model and named contacts after go-live.
What does good BI look like in practice?
Good BI cuts manual work and changes decisions. One example from our work: for a global food and beverage company, we built unified reporting and an executive command centre, with a 60% reduction in manual reporting effort. Another: a food-service distributor in India on Dynamics NAV, with 18% less perishable wastage, a 96% fill rate and Rs 1.2 crore added margin.
For the distributor, we built live stock dashboards with a freshness view and forecast-triggered reorders written back to NAV.

FAQ
What is the difference between licence cost and services cost?
Licence cost is what you pay the vendor, such as Microsoft or Tableau, per user, capacity or usage. It has public list prices. Services cost is what you pay a consultant to scope, connect data, build and support. It depends on your data and scope, so ask bidders to price both separately.
How long does a BI implementation take?
It depends on the number of sources, data quality and how many user groups you roll out to. We have not found a public benchmark we can cite, so we do not quote one. Ask bidders for timelines from comparable projects, in writing, with scope attached.
Should we build BI in-house or hire a consultant?
Build in-house if you have data engineers and a clear metric owner. Hire a consultant when you need a data foundation fast, lack modelling skills, or want an outside view on metrics. Many firms use a consultant for the foundation, then hand over to an internal team.
Is Power BI cheaper than Tableau?
On list price, Power BI Pro is Rs 1,165 per user per month in India, paid yearly. Tableau lists Standard from $15 and Enterprise from $35, billed annually, with no INR price on its page. Total cost also depends on viewers, capacity options and what you already license, such as Microsoft 365 E5, which includes Power BI Pro.
What does ongoing BI support cover?
Support usually covers refresh monitoring, fixes, small changes, new users and new sources. Licence renewals are separate. Agree response times, a monthly change allowance and who owns data quality before go-live, so support cost stays predictable.
